Online booking tools for South African businesses

Let customers book online: what to look for in a booking tool, how WhatsApp fits in, public holidays, deposits and no-shows — for South African businesses.

How we made this: Desk research using ToolTarvern's tool profiles; integration details are as publicly listed by each vendor and not yet verified by us. We haven't tested these booking tools hands-on. Editorial policy.

Salons, consultants, tutors, clinics and repair services all lose time to back-and-forth messages about “when are you free?”. An online booking tool lets customers pick an available slot themselves. It confirms the booking and sends reminders.

What a booking tool should do

  • Show real availability from your calendar, including breaks and buffer time between appointments.
  • Send confirmations and reminders to cut no-shows.
  • Let customers reschedule or cancel within your rules.
  • Collect the details you need up front, such as the service, a phone number and any notes.
  • Handle team members, if more than one person takes bookings.

Options to consider

  • Calendly lets people book meetings and appointments from your available times. Its listed integrations include Google Calendar, Microsoft Outlook and Zoom. May suit consultants and service businesses that book calls or meetings.
  • WhatsApp Business isn’t a booking system, but many customers in South Africa start conversations there. A booking link in your WhatsApp profile and quick replies can send people to your booking page. May suit businesses whose customers already message them.
  • Website builders such as Wix and Squarespace may offer booking features or add-ons. Check what’s included in the plan you’re considering.

Compare features and current prices on each vendor’s site, and check whether they bill in rand or US dollars.

Local things to plan for

  • Public holidays: block them in advance. The free date difference calculator counts working days and includes South African public holidays.
  • Load-shedding or outages: if power or connectivity affects you, make sure customers can still reach you, for example by phone or WhatsApp, if a booking needs to move.
  • Payments and deposits: if you take deposits, state your refund and cancellation policy. The free invoice generator can create a deposit invoice.
  • POPIA: booking forms collect personal information. Ask only for what you need and keep it secure.

Make booking easy to find

  • Add your booking link to your WhatsApp Business profile, Instagram bio and Google Business Profile.
  • Print a QR code for your counter, or a WhatsApp link for people who’d rather message first.

General information, not legal advice. Tool details come from each tool’s ToolTarvern profile and may have changed. Check the vendor’s site.

Frequently asked questions

Can I just take bookings on WhatsApp?

Yes, and many small businesses do. It works well at low volumes. A booking tool helps once double-bookings, reminders and rescheduling start taking up your time.

How do I handle public holidays?

Block them in your booking tool’s availability settings. The free date difference calculator shows South African public holidays (including Monday observance when a holiday falls on a Sunday) so you can plan ahead.

Should I take a deposit?

For long or high-value appointments, a deposit can reduce no-shows. Check whether your booking tool connects to a payment provider, or send a payment request separately, and state your cancellation policy clearly.
